This helps to organise and limit the session, and also allows for the organisation of participants' agendas. 5. Venue: Often, the setting where the meeting is to be held is not given importance. We are wrong. The physical conditions are also elements to be taken into account. We must be sure that we can hold the meeting in the chosen venue, so a reservation must be made. 6. Instruments or tools: e.g. a blackboard, a projector, etc. 7. Notice of meeting: each member should be sent a notice of the meeting with the starting time, place, if possible closing time and an agenda, so that each participant can prepare his or her intervention in advance.
Check list to assess the effectiveness of the meeting
Did the meeting go as expected and did anything go wrong? Below are a series of questions to help you assess whether the preparation of the meeting was adequate.
1. Was there a clear objective for convening the meeting? 2. Was the agenda clearly stated? 3. Do you consider that the structure of the agenda was correct?
4. Was the meeting notice sent to all participants sufficiently in advance? 5. Do you appreciate that participants have prepared for the meeting beforehand? 6. Have you called only the necessary people? 7. Has the meeting started on time? 8. Was the room suitable? 9. Was the arrangement of the members correct?
