The argument "I have a lot of experience, we'll make it up as we go along..." is no good. This argument can lead to unpleasant surprises. In this lesson we are going to analyse the elements that must be taken into account in order to prepare a meeting properly.

Target

It is essential to have a clear objective; we must be able to clearly answer the question "why are we meeting" and know how to convey it to each of the members in an appropriate way.

We convened a meeting to assess how the project of editing the new instalments of The Prince of Egypt TV series is progressing.

Participants

Who will participate? It should be borne in mind that only those people who are really necessary, those who are involved in the issue to be discussed and who have something to contribute, should be invited.

For this meeting we are going to convene the entire production team, but we are not going to convene anyone from the administrative department.

Order of the day

Once the purpose of the meeting has been defined, it is necessary to set the agenda. The most advisable is:

1. Start with soft topics, as an introduction. These can be recapitulations of points agreed at a previous meeting. It is also advisable to start the meeting with very concrete, or easily agreed, points so that all participants have a sense of progress.
