4. Closing phase

At the end of the meeting, a summary of what has been decided should be made to make clear the conclusions reached. This will be included in the minutes (g) which will then be circulated to all participants.

7.3. Effective conduct of meetings

Here are some tips on how to run an effective meeting:

• Team cohesion: The first aspect to take into account is to reinforce the idea that the participants in the meeting are part of a team and have common goals. • Enhancing the participation of all members • Ensure that everyone has their say. • Avoid monopolisation of the meeting by a few. • Look at who is not participating and encourage them to do so: Susana, you were working on a similar issue, what do you think about it? It is important not to force the situation and try to find points where you think the person can be confident. • Respecting the right to speak. • Enhancing respect among members. It is important to create a climate in which all members feel valued. • When speaking, look at everyone in the room and do not always personalise your comments to the same people.
